Article 01

Creating patient groups and group appointments

Patient Groups help you organize patients you see together. You can manage members and schedule appointments from one group workspace.

In this guide, we'll cover:

Creating a patient group
Adding or removing members
Renaming or deleting a group
Starting or scheduling a group appointment

Before you begin: Group Sessions must be turned on for your practice. Your clinician profile must also include a National Provider Identifier (NPI). A group can include up to 10 patients. If you don't see Groups , ask a practice administrator to confirm that Group Sessions is turned on.

Note: Patients don't see the group name, the member list, or another patient's information.

Creating a patient group

To create a patient group:

Go to Patients .
Select Groups .
Select Add New Group . If you don't have any groups yet, select Create New Group .
Enter a unique Group Name .
Search for the patients you want to add.
Select each patient.
Select Create Group .

The new group opens with its members and group tools.

Adding or removing members

To add a member:

Open the group.
Select Add New in the Group Members card.
Search for and select the patient.

To remove a member, open the menu next to the patient's name and select Remove Member .

Important: Removing a member removes them from future group actions and upcoming group appointment occurrences. It doesn't remove records already saved to the patient's chart. Removing the last member also deletes the group.

Renaming or deleting a group

Select Group settings next to the group name. You can rename the group or delete it.

Important: Deleting a group can't be undone. It also cancels upcoming appointments for that group.

Starting an instant group appointment

To start an appointment now:

Open the group.
Select New Appointment > Instant Appointment .
Choose all members or select specific members.
Select Start Instant Appointment .

The Telehealth room opens right away.

Scheduling a group appointment

To schedule an appointment for later:

Open the group.
Select New Appointment > Schedule for Later .
Select Customize if you only want to include some members.
Choose how you'll meet, the clinician, date, time, duration, and location.
Choose a repeat schedule if needed.
Review the details and save the appointment.

Note: When you edit a recurring appointment, you can choose which appointments in the series to update.

Article 02

Using notes, forms, assessments, and transcripts with a group

You can complete common clinical tasks for several group members at once. PrecisionMind keeps each patient's information in their own chart.

Note: If a tab or action is missing, ask a practice administrator to check your permissions.

Creating a group note

Important: Anything you add under Generalized Context is copied to every selected patient's chart. Add patient-specific information only under that patient's Individualized Context tab.

To create a note for group members:

Open the group.
Select Notes .
Select Create Note .
Choose all members or select specific members.
Enter a title.
Add shared information under Generalized Context .
Open each patient tab under Individualized Context .
Add information that applies only to that patient.
Save the note, then confirm.

PrecisionMind saves a separate note to each selected patient's chart.

Note: Notes created from a group session use one shared meeting note. They don't use the Generalized Context and Individualized Context sections described above.

Sending a form

To send a form:

Open the group.
Select Forms .
Select Send Form .
Choose a saved form or upload a PDF form.
Choose all members or select specific members.
Review the form.
Select Send Form .

Open the form assignment to review each patient's status and response. Depending on the form's status, you can reschedule or cancel it, or select Fill for Patient .

Sending an assessment

To send an assessment:

Open the group.
Select Assessments .
Select Send Assessment .
Choose the assessment and due date.
Add recurrence or a note if needed.
Choose all members or select specific members.
Send the assessment.

Open the assignment to review each patient's status and completed results.

Viewing group transcripts

Select Transcripts to view transcripts from group appointments.

The transcript appears after PrecisionMind finishes processing it. Open it to view the session details, transcript, and participants.

Important: Deleting a transcript is permanent. The delete option only appears for users with permission to delete transcripts.

Article 03

Sending a broadcast to a patient group

Send one message to several members of a patient group. Each patient receives a separate message in their own conversation with your practice.

In this guide, we'll cover:

Sending a broadcast
Adding attachments
Reviewing or deleting a broadcast

Note: Patients don't see the group name, the recipient list, or other members. Replies stay in each patient's conversation.

Only group members with a verified PrecisionMind account can receive a broadcast.

Sending a broadcast

To send a broadcast:

Open the group.
Select Broadcast Messages .
Enter your message.
Add attachments if needed.
Select Send to .
Keep all eligible members selected or choose specific members.
Select the arrow to review the broadcast.
Review the number of recipients.
Select Send Broadcast .

Important: Broadcasts send as soon as you confirm. You can't save a draft.

If a patient's conversation is unavailable, PrecisionMind skips that patient and shows the reason. Other eligible patients still receive the message.

Adding attachments

You can add up to 10 files. Each file can be up to 50 MB.

Supported file types are .pdf, .jpeg, .jpg, .png, .gif, and .webp. You can preview or remove a file before sending.

Reviewing a sent broadcast

Select the recipient count to see who received the message.
Select an attachment to preview or download it.
Open a patient's conversation to read their reply.

Deleting a broadcast

Hover over the broadcast and select the trash icon.

Important: Deleting a broadcast removes it from the group history and each patient's conversation. This can't be undone.
