Article 01

Joining a telehealth appointment

PrecisionMind telehealth works in a web browser, so clinicians and patients do not need to install another video application. Both people use the same secure meeting link.

Before your first appointment

Test your camera, microphone, and internet connection.
Use Google Chrome for the most reliable experience.
Patients can join from a phone, tablet, or computer.

Join as a clinician

You can join from any of these places:

Calendar: Open the telehealth appointment and select Join .
Practice Dashboard: Find the appointment under Upcoming Appointments and select Join .
Synced Google Calendar: Open the event and select the meeting link.

How patients join

Patients can use a link from:

The booking email or appointment reminder email.
The PrecisionMind mobile app Home Screen.
The PrecisionMind patient portal Home Screen.

Copy the meeting link for a patient

If a patient cannot find the link:

Open the appointment in your PrecisionMind Calendar.
Select Copy Meeting Link .
Send the link to the patient by secure message or email.

Note: You and the patient use the same meeting link.

Using telehealth transcription

PrecisionMind can turn telehealth session audio into a transcript and a draft clinical note. The patient must consent before transcription begins.

Use the automatic consent prompt

When Session Transcription is enabled in Calendar Settings , PrecisionMind asks for consent before each telehealth appointment.

I Consent: Transcription starts automatically when both participants join.
I Do Not Consent: The appointment continues without transcription.

If the patient changes their mind during the appointment, select Start Transcribing and confirm that you obtained their consent.

Start transcription manually

When Session Transcription is disabled, the patient does not see the consent prompt.

To start transcription:

Obtain the patient’s consent.
Select Start Transcribing at the top of the telehealth window.
Confirm that you obtained consent.

Important: You are responsible for obtaining the patient’s consent before starting transcription manually.

Pause or resume transcription

After transcription starts, you can pause or resume it at any time. This lets you stop transcription for sensitive parts of the conversation or when the patient asks.

Review the transcript

After PrecisionMind processes the session, open the patient’s Transcripts tab. You can review the transcript or delete it when it is no longer needed.

Review the draft note

PrecisionMind uses the transcript to create a draft note in the patient’s Notes section. The note uses your selected format, such as SOAP or DAP, and your documentation preferences.

Review and edit the note before saving it to the patient’s record.

Use the transcript for other documentation

You can also use a transcript when creating billable notes, treatment plans, and other AI-assisted documentation in PrecisionMind.

Privacy and storage

PrecisionMind processes session audio to create the transcript.
Video is not recorded or stored.
Transcripts are encrypted and stored in PrecisionMind with HIPAA-compliant safeguards.
Each transcript is connected only to the appointment and patient record where it was created.
You can retain or delete transcripts.

Article 03

Using features in the telehealth room

The telehealth room lets you hold a secure video session and document care in the same workspace.

Start transcription

How transcription starts depends on the Session Transcription setting in Calendar Settings .

When Session Transcription is enabled

Before joining, the patient chooses I Consent or I Do Not Consent .

I Consent: Transcription starts automatically when the session begins.
I Do Not Consent: The session begins without transcription.

If the patient later agrees, select Start Transcribing and confirm that you obtained their consent.

When Session Transcription is disabled

The patient does not see a consent prompt. To transcribe the session, select Start Transcribing and confirm that you obtained the patient’s consent.

Important: Obtain the patient’s consent before starting transcription.

Pause or resume transcription

After transcription starts, you can pause and resume it during the session.

Review the transcript and draft note

After a transcribed session, PrecisionMind creates a transcript and a draft clinical note. The draft uses your selected documentation preferences, such as SOAP or DAP.

Open Transcripts from the Patient Dashboard to review or delete the transcript. Review and edit the draft note before finalizing it.

Take notes in the sidebar

Use the sidebar to record notes during the session. When the session ends, PrecisionMind adds this text to the patient’s Notes tab.

End or reconnect to a session

Selecting End Session closes the room for you and the patient. The appointment link can no longer be used.

If you ended the session by mistake, open the Patient Dashboard and start a new Instant Meeting . PrecisionMind sends the patient a new link by email and app notification.

Use technical controls

Audio and video: Turn your microphone and camera on or off.
Speaker settings: Choose an available audio output.
Screen sharing: You or the patient can share a screen.

Article 04

Starting an instant telehealth meeting

Use an instant telehealth meeting when you need to meet with a patient without a scheduled telehealth appointment.

When to use an instant meeting

A patient needs to switch from an in-person visit to telehealth.
You ended a telehealth call by mistake and need a new room.
You need to hold an unscheduled check-in.

Start an instant telehealth meeting

To start a meeting:

Open the Patient Dashboard .
Select New Appointment .
Select Instant Appointment .
Select Telehealth .

PrecisionMind sends the meeting link to the patient by email and app notification. You can also copy the URL from the meeting screen and send it to the patient.

Article 05

Ending a telehealth session

When the appointment is finished, select End Call . After you leave, PrecisionMind marks the appointment as Completed on your calendar.

Find notes from the sidebar

Text entered in the session sidebar is saved to the patient’s Notes tab. You can continue editing it or use the AI Assistant to refine it.

Find AI-generated documentation

If the patient consented to transcription, PrecisionMind creates these items after the session:

Session transcript: A text record of the conversation in the patient’s Transcripts tab.
AI session summary: An editable draft note in the patient’s Notes tab, using your selected format such as SOAP or DAP.

You can delete either item when it is no longer needed.

Use the transcript for other documentation

You can use a transcript to create a CPT-specific billable note or a treatment plan.
