Article 01

Preparing to add patients

Before inviting patients, review your forms and calendar settings. This helps patients complete onboarding and book appointments without delays.

1. Prepare intake forms

Go to Management > Manage Form Templates . Then confirm that:

Your consent for treatment is uploaded as a signable PDF.
Your intake or medical history forms are ready.
Questions that the patient must answer are marked Required .

2. Review calendar availability

Patients can see and book the availability you share in PrecisionMind.

Set the days and hours when patients can book.
Turn self-scheduling off if your practice books every appointment manually.

3. Test the patient experience

Consider adding yourself as a test patient with a personal email address. You can then review the welcome email, open your practice profile in the PrecisionMind app, and complete the assigned forms.

Article 02

How to Add a New Patient

Adding a patient to PrecisionMind only takes a few steps. During the process, you can assign the patient to a clinician and send any onboarding forms they need before their first appointment.

The patient's email address is what links them to your practice, so make sure it is entered correctly.

Step 1: Register the Patient (Provider)

1. Go to New Patient → Add New .

2. Enter the patient's:

First name and last name
Email address

3. You can also:

Assign the patient to a specific clinician using the Clinician dropdown.
Select any onboarding forms you want to send with the invitation.

4. When you're ready, click Invite Patient .

If you're onboarding many patients at once, use Import via CSV instead. See Bulk Import Patients Using a CSV for step-by-step instructions.

Pro Tip: You don’t have to wait for a patient to activate their account to book appointments with them. Appointment invitations and reminders are sent via email, and for telehealth appointments, these emails include a secure joining link that patients can use to join the session from any web browser-no app download required.

Step 2: Activate Account (Client)

Once added, clients use their email to activate their account. They can choose either method:

The App Store (Fastest): They can download the PrecisionMind app directly from the App Store or Google Play . As long as they sign up with the same email used in Step 1, your practice will appear automatically.
The Email Link: They can click the link in their automated welcome email, which will also direct them to the app stores.
Web Portal: They can open the web portal for the themselves and sign up with the same email used in Step 1 as well.

Pro Tip: Many clinicians send a personal note before the PrecisionMind invite so the patient knows to expect it. For pre-made messaging templates, contact Krista Lee Beradi, LMHC at krista@PrecisionMind.health .

Sending a Reminder

If a patient has not yet activated their account after receiving an invitation, you can either resend the invitation or revoke it.

Go to View Patients from the sidebar.
Make sure the In Care tab is selected.
Locate the patient in the list.
Click the three-dot (⋮) menu next to the patient's name.
Choose one of the following options: Resend Invite – Sends the patient another invitation email so they can activate their account. Revoke Invite – Cancels the pending invitation if it was sent to the wrong patient or is no longer needed.
Resend Invite – Sends the patient another invitation email so they can activate their account.
Revoke Invite – Cancels the pending invitation if it was sent to the wrong patient or is no longer needed.

Frequently asked questions

Can I assign a patient to a clinician when I create them?

Yes. Simply choose the clinician from the Clinician dropdown before sending the invitation. The patient will be assigned to that clinician immediately.

Can I book appointments before the patient activates their account?

Yes. Patients can be scheduled immediately after they are added to PrecisionMind. They will receive appointment confirmations, reminders, and telehealth joining links by email.

What happens if I invite the wrong email address?

If the patient has not yet activated their account, open View Patients , click the ⋮ menu, and select Revoke Invite . You can then update the email address and send a new invitation.

Can I change the patient's email after sending the invitation?

Yes, as long as the invitation has not been accepted. Revoke the pending invitation first, update the email address, and then send a new invitation.

Can I send onboarding forms when inviting a patient?

Yes. During patient creation, select any forms you want to send. The patient will receive them together with their invitation.

What if I need to add many patients?

For large migrations or onboarding multiple patients at once, use Import via CSV , which lets you import multiple patients, assign them to a provider, and send onboarding forms in a single process.

Article 03

Importing patients with a CSV file

Import multiple patients with a comma-separated values (CSV) file. Use this option when moving from another electronic health record (EHR) or adding a large caseload.

Import patients yourself

1. Start the import

Go to New Patient > Import via CSV .

2. Upload the file and choose a provider

Download the sample CSV and organize your data in the same format. Then drag the completed file into the upload area or select Upload .

Each patient must have a first name, last name, and email address. You can include the other demographic fields shown in the sample.

Use Assign To to choose a provider. Every patient in that CSV will be assigned to that provider.

Note: If patients need different providers, create a separate CSV for each provider and run a separate import.

3. Map the columns

Match each CSV column to the corresponding PrecisionMind field. For example, map a column named Client Email or email to Email .

Confirm that first name, last name, and email are mapped. Then select Validate Data .

4. Fix validation errors

PrecisionMind shows how many records are valid or invalid and identifies affected rows. Correct the data in your CSV, then select Re-Upload . A record may be invalid if the patient is already registered with another clinician.

5. Choose onboarding forms

Select the forms to send. Forms marked Default are already selected. Each document is labeled PDF - To View , PDF - To Sign , PDF - To Fill , or Dynamic form .

Review the selections before completing the import.

What happens after the import

Each successfully imported patient is added to your patient list, assigned to the selected provider, sent a welcome email, and sent the selected onboarding forms.

Frequently asked questions

Can I assign different providers in one import?

No. Assign To applies to the full CSV. Run a separate import for each provider.

What happens if a patient already exists?

PrecisionMind flags the record during validation to prevent a duplicate account. Correct or remove the row, then upload the file again.

Can PrecisionMind complete the migration?

Article 04

What patients see after an invitation

When you invite a patient to PrecisionMind, they receive a secure email to create their account. After signing in, they see an onboarding checklist with the information and forms they need to complete.

1. The patient receives an invitation

The invitation gives the patient three ways to access PrecisionMind:

Download the PrecisionMind app for iPhone
Download the PrecisionMind app for Android
Sign up through the PrecisionMind Patient Portal

You can also send these links directly to the patient.

Tip: Tell the patient to expect an invitation. If they cannot find it, ask them to check spam or junk and confirm that they are using the email address you entered.

2. The patient creates an account

The first time the patient signs in, they:

Enter the same email address you used for the invitation.
Enter the one-time password sent to that email address.
Create a password for future sign-ins.

Patients using the mobile app can then turn on Face ID or Touch ID for faster access.

3. The patient completes onboarding tasks

After creating an account, the patient answers the initial questions and reaches their PrecisionMind home page. Their checklist may ask them to:

Add an emergency contact.
Add payment information.
Complete the forms, consents, questionnaires, or assessments you assigned.

The checklist includes only the documents assigned to that patient. Ask patients to complete it before their first appointment so your practice has the information it needs.

The mobile app is optional

Patients can create an account and complete onboarding in the PrecisionMind Patient Portal . They continue to receive appointment reminders and telehealth links by email.

Article 05

Understanding patient notifications

PrecisionMind sends patients updates about appointments, forms, tasks, and secure messages. Depending on the notification and the patient's settings, updates arrive by email, mobile push notification, or both.

When patients receive notifications

Account invitations and verification

Patients receive an email when you invite them, when they need a one-time password, and when they create or access their account. They must use the same email address that you entered in PrecisionMind.

Appointments

Patients receive a confirmation when an appointment is booked. PrecisionMind also notifies them when an appointment is updated, rescheduled, or cancelled.

PrecisionMind sends a reminder 24 hours before the appointment and another notification when the appointment starts. Telehealth notifications include information for joining the session.

Forms, assessments, and tasks

Patients receive a notification when you assign or share an intake form, consent form, questionnaire, assessment, document, or other patient task. The item also appears in their task list.

How notifications are delivered

Email

Email notifications go to the address connected to the patient's PrecisionMind account. Patients can use the PrecisionMind Patient Portal if they prefer not to install the mobile app.

Mobile push notifications

To receive push notifications, a patient must:

Install the PrecisionMind app.
Sign in to the correct account.
Allow notifications in PrecisionMind.
Allow PrecisionMind notifications in the phone's settings.

Patients can Download PrecisionMind for iPhone or Download PrecisionMind for Android .

Manage notification preferences

In the PrecisionMind app, patients can go to Profile > Manage Permissions and turn email or push notifications on or off.

The mobile app is optional. Patients can use the PrecisionMind Patient Portal and receive email notifications.

Troubleshoot missing notifications

If emails are missing

Ask the patient to:

Check the email address used for their PrecisionMind account.
Check spam, junk, promotions, and filtered folders.
Search their inbox for "PrecisionMind."
Confirm that email notifications are enabled in Profile > Manage Permissions .

Also confirm that the correct email address is saved in the patient's record.

If push notifications are missing

Ask the patient to:

Confirm that the PrecisionMind app is installed and they are signed in to the correct account.
Turn on push notifications in Profile > Manage Permissions .
Allow PrecisionMind notifications in the phone's settings.
Check whether Focus, Do Not Disturb, or battery-saving settings are blocking notifications.
Update the PrecisionMind app.

Notifications are not for emergencies

Important: PrecisionMind notifications and secure messages are not an emergency service. Patients should follow the emergency and urgent-care instructions from your practice.

Message you can send to patients

PrecisionMind will send you important updates about appointments, forms, and messages from your care team. Keep your email and app notifications turned on, and tell us if your email address changes. If you use the mobile app, also allow PrecisionMind notifications in your phone's settings.
