Choosing practice management software: an honest checklist
The twelve questions that actually predict whether a platform will serve your practice for years, from pricing transparency to claim visibility to who owns your data.
Your practice software is the operating system of your business. Changing it later is painful, so the evaluation you do once is worth more than any feature list. Here is the checklist we would use, distilled from what practices tell us matters after they have lived with a bad choice.
The twelve questions
1. Is the price simple and does it stay simple as you grow? Watch for per-claim fees, per-SMS fees, and feature gates that unlock at higher tiers.
2. Are claims visible in real time, or do you export to a clearinghouse portal to learn what happened?
3. Does the intake flow (forms, insurance capture, reminders) live inside the same system as the chart?
4. Can you build and enforce a treatment plan without exporting to Word?
5. Does documentation assist actually understand mental health, or is it a generic scribe bolted on?
6. How long does it take to onboard a new clinician, measured in minutes not weeks?
7. Is telehealth built in with its own payer-grade note flow, or a link to a third-party room?
8. What reports do you get weekly: no-shows, revenue by payer, outstanding claims, utilization?
9. Who owns the data, and what does export look like? Ask to see the export before you sign.
10. Is there a real API, or just a CSV download?
11. What does support cost and how fast does a human answer?
12. What happens to your price when you add your second and tenth clinician?
How to run the evaluation
Trial with your own workflow, not the vendor's demo script. Enter a fake client, run an intake, write a note, create a claim, and look at the reports. Ten minutes of real work reveals more than an hour of slides.
And run the math on total cost: license plus transaction fees plus the paid add-ons you would actually need plus the hours your staff will spend on workarounds. The cheapest sticker price is rarely the cheapest system.
